Quick answer
In My organisation, Members & roles section, invite colleagues by email with an Organisation admin, User, Viewer or custom role, then set their access to each project as View, Contribute or Project admin. The access history keeps every change, and a deleted project stays restorable from the deleted projects list.

Introduction
A SeveUp App organisation groups projects, each project holds Folders, and each Folder holds models, documents and requirements. This article explains who sees what: organisation roles, access to each project, invitations, the history of changes, the deleted projects list, then your display preferences.
Prerequisites
- Members and roles are managed from the organisation console. At the bottom of the menu, click My organisation, then the Members & roles section.
- An organisation admin sees the whole console. A member whose role includes "Manage members" only sees the "Projects" and "Members & roles" sections.
Roles and per-project access
The "Members & roles" section has two tabs: "Members" and "Roles".
Three system roles exist:
- "Organisation admin": sees all projects, manages members, roles and connectors;
- "User": sees their projects and those shared with them, imports, audits and exports there;
- "Viewer": views their projects and those shared with them, without editing or exporting.
A project created by someone else is only visible once shared. To change a member's role, pick another role in the "Role" column of the "Members" tab. The "Change the role of …" window lists what they will also be able to do and what they will no longer be able to do, before you confirm with Change role.
Create a custom role
In the "Roles" tab, Create a role opens a three-step wizard: "Starting point", "Rights and description", then "Review". You start from a system role, an existing role or a job template: "Project lead", "BIM manager", "Contractor (package)", "Client in review" or "External auditor".
Every role grants read access. Capabilities add to it: "Write", "Export", "Connectors", "Manage members", "Billing" and "Organisation", which implies full management. A role is edited, duplicated or deleted from its row. Its members then fall back to "User". A system role cannot be deleted.
Set access to a project
On a project card, the "Access" button opens the project access window. Under "Give access to", choose a member, then a level:
- "View": sees the project content without changing anything;
- "Contribute": adds and edits content in the project;
- "Project admin": contributes and manages who has access to this project.
The organisation role stays the ceiling: a Viewer only views, whatever their level here. Only the owner, an organisation admin or a project admin can change this access.
Email invitations and reminders
Enter the address
In the "Members" tab, "Invite a member" block, enter the "Email address".
Choose the role
Choose the "Role". "User" is suggested by default.
Open projects
Under "Also give access to", tick the relevant projects. Access is Contribute on arrival; change the level later from the project.
Send
Click Invite.
If the address already has an account, the person is linked right away, with no email, keeping their current account and password. Otherwise, they receive a sign-up email.
A pending invitation appears in the members list with the "Invitation pending" badge and its expiry date. Its role can still be changed while it is pending. The link stays valid for 14 days. SeveUp App reminds the person automatically three days and then five days after sending, during business hours, as long as they have not accepted.
The "Invitations" block keeps the sending history, with a "Status": "Account not created yet", "Account created" or "Expired". The "Resend" button sends a non-accepted invitation again.
Access and role change log
In the "Members" tab, a member's "Access" button opens their access window: their "Organisation role", their projects, then the "Access history".
Each history line shows the date, who made the change and what changed:
- a role change, with the previous and the new role;
- an invitation, with the planned role;
- access to a project granted, changed or removed;
- removal from the organisation or reactivation.
A change made by the app itself shows "System" as its author. The history starts on 8 October 2026: nothing is recorded before that date.
Removing a member takes away their access, but their account and data are kept. They appear under "Removed members", where "Reactivate" brings them back.
Projects, Folders and trash
The "Choose a project" page lists the organisation's projects. "New project" offers an "Empty" project or an import from Trimble, Catenda or Kairnial. Inside a project, the "Folders" menu lists its Folders; "New folder" adds one.
Delete and restore a project
The "Delete project" icon on the card sends the project to the trash with all its content, and nothing is lost. The "Deleted projects" list, below the projects, keeps them:
- "Restore" brings the project back exactly as it was;
- "Delete permanently" is offered for an empty project;
- "Empty then delete" removes the content item by item in the background, then the project. A model used by a Folder of another project is kept.
A deleted Folder is archived: the "Archived folders" list lets you "Restore" it or "Delete permanently" it, with all its content.
Revision retention period
The "Revision retention" icon on a project card sets how many revisions to keep per model. Beyond that number, the oldest ones are archived, stay restorable for 90 days, then are permanently deleted. Details are in Configure revision retention per project.
Language, theme and installable app
These preferences belong to each user:
- Language: the language selector in the top bar switches between "Français" and "English", on the same page.
- Theme: the "Toggle theme" button offers "Light", "Dark" or "System", which follows your device setting.
- On a phone, theme and language are in your profile menu.
- Installable app: SeveUp App installs from your browser, through its install or add to home screen option. It then opens in its own window, without an address bar.
What can go wrong
- "Cannot remove the last admin of the organisation.": appoint another admin first.
- "Only an organisation admin can change or remove an admin.": a member who manages members cannot touch admins.
- "This is your own role: you will lose access to this page.": check before confirming.
- "Invitation already accepted: the account exists.": the person is already a member.
FAQ
Can the access level on a project exceed the role?
No. The organisation role stays the ceiling: a Viewer only views, even with the Contribute level on a project.
How long does an invitation stay valid?
14 days after sending. It is reminded automatically three days and then five days after sending, as long as it is not accepted.
What happens to a removed member's data?
It is kept. The member loses access and can be reactivated from "Removed members".
Is a deleted project lost?
No. It stays in "Deleted projects" with its content until a permanent deletion. "Restore" brings it back as it was.
